How to Handle an Etsy Refund Request Without Losing Money or Reviews
When to refund in full, when to offer a partial refund or replacement, how refunds work on Etsy, and polite message templates.
A refund request doesn't have to mean a lost sale and a bad review. Handled calmly and quickly, it can end with a happy buyer, and sometimes a 5-star review.
Start with one question: whose problem is it?
| Situation | Usual fair outcome |
|---|---|
| Item damaged, faulty or misprinted | Replacement or full refund |
| Item significantly different from the listing | Replacement or full refund |
| Order lost or very late | Replacement or full refund once delivery is clearly overdue |
| Buyer ordered the wrong size or colour | Your returns or exchange policy applies |
| Buyer changed their mind | Your returns policy applies; consumer law may apply in the UK and EU |
If the problem is yours, refund or replace quickly. Arguing over a small amount usually costs more in reviews and time.
Full refund, partial refund or replacement?
- Replacement: best when the buyer still wants the item and it was damaged or misprinted. Print-on-demand suppliers will often reprint for free if you send photos within their claims window.
- Partial refund: good for small flaws the buyer is happy to keep, or a delay the buyer is annoyed about but still wants the item.
- Full refund: for lost orders, serious faults, or when the buyer doesn't want a replacement.
You can issue a full or partial refund from Shop Manager → Orders. Refunding and cancelling are separate actions on Etsy, so don't assume a refund also cancels the order.
Know your rights and the buyer's
- Etsy's case system doesn't cover items that were accurately described but simply didn't meet the buyer's expectations.
- In the UK and EU, buyers usually have a legal right to cancel within 14 days of delivery for many goods, including some made-to-order items, depending on whether they're personalised. Make sure your returns policy is clear and doesn't contradict the law.
- Never make a refund depend on the buyer changing or removing a review.
Message templates
Damaged or faulty
Hi [name], I'm really sorry about this. Thank you for the photo. I can send a free replacement or give you a full refund, whichever you'd prefer.
Small flaw, buyer keeping the item
Hi [name], thanks for letting me know, and sorry it isn't perfect. Would a partial refund of [amount] help? I've also passed your photos to our print partner so it doesn't happen again.
Change of mind (with a returns policy)
Hi [name], no problem. Under our returns policy you can return it within [X] days of delivery. Once it's back with us in its original condition, I'll refund [amount].
Change of mind (no returns, and the item can't be returned)
Hi [name], I'm sorry it wasn't quite right for you. As each item is [personalised / printed to order], we can't accept returns for change of mind, as explained in our policy. If anything is faulty or damaged, though, I'll always put it right.
Protect your profit
Before you sell, price every item so a reasonable share of problem orders doesn't wipe out your profit. The Etsy fees and profit guide shows how to build that buffer in.
