How to Respond to a 1-Star Etsy Review (With Message Templates)

A calm, step-by-step plan for handling a negative Etsy review, what Etsy will and won't remove, and copy-ready messages for the buyer and the public reply.

A 1-star review stings, especially when your shop only has a handful. The good news is that one bad review rarely sinks a shop. How you respond often matters more to future buyers than the review itself.

This guide covers what to do first, what Etsy will and won't remove, and messages you can adapt.

Step 1: Don't reply publicly yet

Your first move should be a private message, not a public reply.

Etsy lets a buyer edit their review for up to 100 days after the estimated delivery date, but only while you haven't responded publicly. Once you post a public response, the buyer can no longer change their review or rating, even if you later delete your response.

So a fast public reply can lock a 1-star review in place. Message the buyer first.

To message them: Shop Manager → Orders, find the order, and choose the mail icon.

Step 2: Work out what actually went wrong

Most negative reviews fall into a few groups:

What the review says What it usually means
"Never arrived" or "took forever" Delivery delay or lost parcel
"Not like the photos" Colour, size or print differs from what the listing showed
"Arrived broken" Damage in transit or weak packaging
"Poor quality" Expectations didn't match the product or price
"Seller didn't reply" Slow or missed messages

If the reason isn't clear, ask an open question. Etsy's own advice is to stay professional and courteous and focus on whether you can solve the problem.

Step 3: Offer a fix, with no strings attached

Offer a practical fix: a replacement, a refund, or a reprint if the item was faulty.

Don't make it conditional on changing the review. "I'll refund you if you update your review" puts pressure on the buyer and can backfire badly. Fix the problem because it's the right thing to do. Many buyers update their review on their own once they feel looked after.

Private message template: item faulty or damaged

Hi [name], I'm really sorry your [item] arrived [damaged / not as expected]. That's not the experience I want anyone to have. Could you send me a photo of the problem? Once I've seen it I'll arrange a free replacement or a full refund, whichever you'd prefer.

Private message template: delivery delay

Hi [name], I'm sorry your order has taken so long. I can see it [is still in transit / was marked delivered on date]. I've checked with the delivery service and [update]. If it hasn't arrived by [date], I'll send a replacement or refund you in full. Thank you for your patience.

Private message template: you're not sure what went wrong

Hi [name], thank you for your review. I'm sorry the order didn't meet your expectations. Could you tell me a little more about what went wrong? I'd like to put it right if I can.

Step 4: When to reply publicly

Reply publicly only if you can't resolve it privately, or the buyer doesn't answer. You have 100 days from the date the buyer last edited their review.

A public reply is really for future buyers. Keep it short, calm and factual. Never argue, blame the buyer, or share their personal details.

Public reply template

We're sorry this order didn't meet expectations. We reached out privately and offered a [replacement / full refund]. We take every issue seriously and would always rather put things right.

What Etsy will remove (and what it won't)

Etsy removes a review only if it breaks Etsy's policies. That includes reviews that:

  • contain private information
  • contain obscene, racist or harassing language
  • are only about things outside your control, such as the delivery company (named), Etsy itself or another third party
  • contain threats or extortion
  • are spam or falsely inflate a shop's score

To report one, select Report this review under it.

Etsy won't remove a review just because it's negative or you disagree with it. Etsy also says it can't judge whether a buyer received an item, even if tracking shows it was delivered. Etsy Support can't remove a review at a seller's request.

A review that complains about the courier and the item usually won't qualify for removal. Only reviews that are purely about a third party do.

Stop the next bad review before it happens

Most 1-star reviews come from a gap between what the buyer expected and what arrived. Close that gap:

  • Show the real product in your photos, including size and scale.
  • State delivery times honestly. Don't promise speed you can't control.
  • Reply to messages within a day.
  • For print-on-demand, order a sample if you can, so you know what buyers actually receive.
  • Send a short message when you dispatch an order, with a tracking link.

One bad review among good ones looks normal to buyers. A calm, helpful public reply can even build trust.
